FAQ

Who is this solution for?

DenialTracker was made to be an easy-to-use solution for insurance denial management. Any sole practitioner, small clinic, therapy center, medical biller, etc. with access to 835 files from their clearinghouse (Availity, OfficeAlly, Claim.MD, etc.) can use this Google Workspace add-on. DenialTracker can only read the standard ANSI X12 format.

Is patient data secure and HIPAA-compliant?

All processing stays within your Google Workspace. No PHI leaves your domain. The tool is designed for HIPAA compliance, keeping all files and logs inside your secure Drive, Sheets, and Gmail. If your account has a BAA with Google, you're secure.

How much of the system is automated?

As long as the upload of .835 files to the monitored Google folder remains consistent to provide a near real-time representation of denial data, and resubmitted denials are logged, everything is set and go!

About

I've worked as a medical biller for 3 years at SNH Speech Therapy and Learning Center, a pediatric speech, occupational, and mental health therapy center located in Nashua, New Hampshire. Like many other small practices providing medical services, insurance denials are our most significant source of revenue loss. The process of overcoming them is unconsolidated, convoluted, and time-consuming. Between conducting account research, coordinating with insurance representatives, and deciding the best course of action to circumvent the denial, and hopefully secure revenue, we wanted a solution.

That's why I created DenialTracker, so other practices and billers can easily receive more automation in their workflow by offering a consolidated list and scheduled alerts on your insurance denials, all within a system you likely already use! Every function this system offers was purposefully designed for other healthcare providers and billers based on what our practice wanted:

Organized Google Sheets provide a clear archived history of insurance denials.

Each denial entry in Sheets includes all the necessary information to determine why the claim was denied and what the most appropriate next step is.

Sorting functions and analytics pinpoint which billed codes or insurance agencies have most frequently produced denials.

Scheduled alerts that fit your cadence will ensure all recipients stay up to date on what needs the most attention.

Finally, claim resubmission and appeal status tracking represent where each denial stands with securing your revenue.

I wholeheartedly hope this system will help healthcare providers continue to offer their essential services without the possibility of lost revenue lingering.
